How do I manage my jobs?

My Elance

From any page within your Elance account, click My Elance from the top left to return to your My Jobs page.

My Jobs

Your My Jobs page gives you a complete overview of all of your jobs.

Locating your jobs is easily done with the search box on your Job Status bar. To search for specific jobs or use the All Jobs drop-down menu to filter jobs by a specific status (EX: Working, Complete).

For each job, click the job name to enter the Workroom directly. By selecting the Actions drop-down, you can quickly navigate to key actions for the job.

If you hire and work through Elance, you also have the ability to filter your jobs based Client or Freelancer activity.

On the My Jobs page you will also be alerted when there are actionable items that need your attention.  These will show up in two different places on the page.

  1. On the right side of the page under Inbox there is a link to Action Required.  Clicking this will take you to your inbox showing the items that require your action.

  2. On the list of jobs any job that requires action will show the Action at the bottom along with a link to complete that action.  This gives you a great overview of what jobs are awaiting your action.

Display options:  In addition to viewing more jobs per page by clicking the Load More link, you can also hide thumbnail images so the My Jobs page defaults to a more compact view. Click the Settings icon and change the list view to Compact for this change.

The Workroom

When a job is awarded on Elance, a Workroom is automatically created for you and the other party. The Workroom allows safe and effective communication and file-sharing. Communications are stored, reducing paperwork and ensuring documentation for completed work.

To access the Workroom for a job, login to your Elance account and follow these steps:

  1. Click My Elance in the top navigation bar.

  2. Click on the job name.

The following features are included in your project's Workroom. Learn more about these features below and how they can help you manage your work on Elance:

  • Secure: Workrooms are encrypted with HTTPS

  • Consolidated: All job information, including conversation transcripts, are stored in one place.

  • File Sharing: Each Workroom allows upload and sharing of up to 1GB of files with indication of versions of each file.

  • Widgets: Apps to increase productivity, such as to-do lists, video conferencing, and more. To learn more about Workroom widgets, click here.

  • Private communication:  All correspondence is strictly between both parties. 

Workroom Messages

Workroom messages enables real-time communications that are stored to the job history. A copy of all Workroom messages is also sent via email to the respective parties.

Only Messages, Status Reports, and Terms documented within the Workroom may be used as the official record of communications for job history and progression and serves as the single source of truth in the rare event of a Dispute.  Any communication that occurs outside of this cannot be submitted as evidence in non-judicial Dispute resolution after a Dispute is reported.

To communicate using the Workroom, please log into Elance and follow the steps below:

  1.  Click My Elance in the top navigation bar.
  2. Click the job name to open the appropriate Workroom.

  3. The Messages section of the Workroom will open by default.

Messages can be typed directly into the text box from the Messages section of your Workroom or emailed into the Workroom Email Address.   Each Workroom on Elance will have their own specific email address.  When emailing from your registered mail address, you can use the Workroom Email Address (sample address:  to send messages directly to the Workroom without having to log into your Elance account.

You will be notified through email when the other party contacts you through the Workroom. When you receive the notification via email that a message has been sent to you, there are two ways to reply:

  • Reply to the email. The message will be recorded to your Workroom and a notification will be sent to the other person in the job. Do not alter the subject line of this email. If it is altered the message will fail.

  • Log in to your Elance account and navigate to the Workroom using the steps above.

From your My Jobs page, you can also use Broadcast Messages to send a single message to multiple Workrooms at the same time. With this feature, you don’t need to visit each individual Workroom to send the same message. There are three (3) easy steps to use the broadcast messaging feature:

  1.  Select more than one job by ticking the check boxes on the left.
  2. Click the Broadcast Message button in the panel.

  3. Type your message and click Send.

Note: Elance does virus checking on all files uploaded by users to the Workroom (either via email in to the Workroom or posting from the website), proposal attachments, job posting attachments, portfolios, etc. and automatically removes any that fail the virus scan. Elance does not validate that a reference or a link to another website may be malicious and you should always be wary of visiting a website that is not trusted or known to you. If you do suspect that a message may link to a malicious website, please inform Elance Customer Support.

Message Settings

New message posts in the Workroom will send an immediate email to the other party, either the Client or Team Leader. If you prefer to adjust these settings, follow these steps:

  1. Click your username to the top right of the page and click Settings from the drop-down menu. 
  2. Click Notification Settings from the left control panel.
  3. Choose your settings.
  4. Click Save

Note: You can also add up to three additional email addresses to receive copies of Workroom messages and daily digests.  You will only be able to reply or post Workroom messages from the registered email address on the account.

Tips for sending Workroom Messages

  • Use a supported browser.

  • Disable pop-up blockers. The attachment upload feature needs to generate a pop-up window.

  • Have sound enabled on your computer, so you do not miss a message when working in a different browser window or tab. 

Workroom Folders

When managing more than one job, you can also create and use Folders to help organize these jobs. For team accounts, only users with administrative access (Owner and Administrator roles) can create folders.

To create a new folder, click the folder icon in the My Jobs navigation bar. Each folder includes the options Open, Rename or Archive.

Move jobs into folders by doing any of the following:

  • Clicking Actions alongside each project and moving that project individually.

  • Selecting more than one job and using bulk actions to move the projects.

  • Hovering over a job and moving it into a folder by using drag-n-drop.*

Jobs can be reorganized or moved back to My Jobs by repeating the steps above. You can also reverse these actions by clicking Undo.

*Note: Drag-n-drop functionality is not supported by Internet Explorer and Safari for Windows browsers

Workroom Files 

Elance offers a number of features that allow you to upload files to collaborate with others.  You can upload files in both Messages and File sections of the Workroom.  You can access the full list of files associated with a job by clicking on the Files link in the job’s Workroom.

Here you can add new files by clicking the Upload New button or download any files by under the Options menu next to each file.  Files are versioned for your future reference and if the file is an image file you can simply roll over the name of the file to have a live image preview pop up.

You can also change your view of this page from a List View to a Gallery View by clicking on the icon with the small squares.  This view makes it easy to see a preview of the files.

Uploading Files

You can upload files in both Messages and the File sections of the Workroom.  Files attached to the job posting, proposals, and terms are also automatically added to the Files section of the Workroom.

File policy:

  • Individual files can up to 100MB in size.

  • Workrooms have  maximum storage of 500MB (if you require additional storage, please contact Customer Support).

  • 10 files per document, such as job postings and proposals.

  • 10 files per message post in the Workroom.   

  • 10 files per email into the Workroom.

  • Sub-folders are no longer supported.  Previous subfolder files can be found in either Shared or Private folders for the Workroom.

General Tips for Uploading Files:

  •  Install latest version of Adobe Flash.
  • Use a supported browser.

  • Disable pop-up blockers. The attachment upload feature needs to generate a pop-up window.

  • Make sure your file has a DOS extension. Computer files uploaded through Elance should have an extension such as .html or .doc, which indicates file type. If you try to upload a file to Elance without an extension, you will get an error message. Here are some common extensions (html — a Web document, txt — a text document, and gif or .jpg — an image).

  • To upload a .exe or .bat file, please zip the file prior to uploading.

  • Use a common file type. Elance will accept any type of file.  However, only certain files will display inside a browser window. Using most browsers, all .gif, .jpg (or .jpeg), .html and .txt text files will open if a member clicks on them in your profile.

Note:  If a Freelancer is not hired for a job, Elance will delete the uploaded files attached to the Job Descriptions, Proposal Comments, Messages and Files of the job after 6 months. If Freelancer is hired for the job, the uploaded files will not be deleted.   For Clients and Freelancers, files will be deleted for awarded jobs that haven't had any activity (e.g. payments, Messages updates, etc.) in 12 months.

Account Files

You can store your commonly used files in the Files section under the Manage tab and reference them from within any Workroom or Job Post. Instead of uploading the same file again and again, you can now upload it once to your account and link to it from other Workrooms or posts. This same capability will be available shortly for all areas of Elance including Proposals, Workroom Files, and Portfolio.

To access the Account Files section, hover over the Manage tab in the top navigation bar and then click on Files.


How do I change the status of a job from 'Working' To 'Complete'?

To change the status of a Workroom from Working to Complete, please follow the steps below:

  1. Click the My Elance icon in the top navigation bar.

  2. Click on the job title to open the Workroom.

  3. Click on the More link from the menu on the left in the Workroom.  Once the More menu options are expanded, click on Mark Job as Complete.  The Workroom will be marked complete and the other party will receive a notification of the status change.

How do I archive a job?

To archive a job from your My Jobs list, please log in to your account and follow the steps below:

  1. Click My Elance in the top navigation bar.

  2. Click on the Actions drop-down menu under the job name that you wish to to archive and then click Archive.

Note:  To view the jobs you've already archived, click All on your Job Status bar to access the drop down-and click Archived.

To archive more than one job at a time, please follow these steps:

  1. Click My Elance in the top navigation bar.

  2. Tick the boxes to the left of the job names you wish to archive.

  3. Click Archive from the panel on the right.  

How can I avoid disputes while working through Elance?

Recognizing that disputes can often arise from miscommunication and can usually be resolved between the two parties, we recommends the following steps to avoid disputes:

  • Maintain open lines of communication and clear documentation in the job’s Workroom. Be clear about your expectations and check in frequently with the other party. Frequent updates are a key to avoiding any misconceptions.

  • Discuss job expectations, payment terms and work schedule before the job begins or payment is made. Make sure to explicitly state all assumptions for job requirements, such as delivery schedule, revisions, support and payment schedule.  Establish Milestones and payment schedules in the job Terms.

  • Ask for full contact information of the other party once a bid has been selected.

  • Document any changes to scope, timing or payment in the job Terms.

  • Send/receive payment in installments, as key Milestones are met.
